A Clearly Defined Role

More Than a Cottage Check

Conditions at an unoccupied cottage can change quickly. Severe weather, water intrusion, a loss of heat, wildlife activity or a security concern may go unnoticed until the next owner visit.

Deep Bay provides a consistent local presence for your property. We learn how your cottage is used, complete scheduled visual visits, document what we observe and communicate clearly when something requires your attention.

When outside assistance is needed, we can help arrange authorized access and coordinate the next step. Our role is to represent your interests—not to create repair work or sell you services you do not need.

“Problems are easier to address when they are observed, documented and communicated early.”

Local Support When You Cannot Be There

Professional Oversight Built Around Your Cottage

Every property is different. Deep Bay combines scheduled oversight with practical local support, giving cottage owners a reliable way to stay informed and manage authorized activity from a distance.

Cottage Health Visits

Scheduled, photo-documented visual visits help you understand your property’s observable condition. Each visit follows a consistent framework adapted to the systems, access requirements and known concerns recorded during onboarding.

Priority Storm Response

When significant weather affects the area, members can request or receive priority post-storm visits based on their membership and service agreement. We document visible conditions and report concerns, subject to safe road and property access.

Independent Contractor Coordination

When outside service is required, Deep Bay can help arrange property access, gather information, meet authorized providers and document completed work. Independent contractors remain responsible for their work, licensing and insurance.

Secure Keyholding and Property Access

Keys and access information are handled through a controlled process. With your authorization, Deep Bay can provide documented access for contractors, deliveries and approved visitors.

Delivery and Logistics Support

We can receive or coordinate approved deliveries and help manage property-related logistics when an owner cannot be present. Availability and pricing depend on the request.

Seasonal Opening and Closing Coordination

Deep Bay can help organize access, scheduling and documentation for opening and closing work completed by qualified providers.

Independent Project Oversight

For authorized work, we can attend the property, document progress and provide updates. The contractor remains responsible for the quality and completion of the work.

Digital Property Records

Each visit contributes to an organized history of reports, observations and photographs, helping you track the property’s condition over time.

Documented After Every Scheduled Visit

A Clear Record of Every Visit

After every scheduled Cottage Health Visit, you receive a digital report describing what was observed at your property at the time of the visit. The report combines a consistent visual review with property-specific observations, supporting photographs and clear status information.

Over time, your reports create an organized history that makes changing conditions easier to recognize and helps you stay informed wherever you are.

What Your Report Includes

  • Visit date, time, weather and access conditions
  • Overall property status
  • Interior and exterior observations
  • Relevant temperature or system readings
  • Supporting photographs
  • Items to monitor or address
  • Recommended next steps
  • A record of owner notification and follow-up when required

The 10 Point Cottage Health Framework

Every scheduled visit follows the same core categories, adapted to the property and season:

  1. Access and security
  2. Roof, structure and visible snow conditions
  3. Exterior, grounds and trees
  4. Interior environment and visible water intrusion
  5. Plumbing and water systems
  6. Heating, HVAC and fuel level indicators
  7. Electrical, mechanical and life-safety indicators
  8. Septic area and visible drainage conditions
  9. Dock and waterfront
  10. Seasonal and winter protocols

Cottage Health Visits are visual and non-invasive and cover readily accessible areas included in your service agreement. They do not replace inspections or assessments by other professional service providers.

Kevin Mertens, founder of Deep Bay Cottage Management

Meet Kevin

Kevin Mertens founded Deep Bay Cottage Management after nearly two decades in client-success leadership, where his work centred on communication, documentation, accountability and long-term client relationships.

A local cottager for more than 40 years and a cottage owner on the Kahshe Lake, Kevin understands the concerns that come with managing a seasonal property from a distance. He created Deep Bay to give owners something more dependable than an occasional check: a professional local representative who knows the property, communicates clearly and treats the owner’s interests as the priority.

Kevin lives on Deep Bay Road in Washago and personally leads Deep Bay’s founder-led launch service for road-access cottage properties throughout the surrounding area.

“I have spent my career making sure clients never had to wonder whether they were being looked after. Cottage owners deserve the same clarity and accountability—not just a checklist, but a representative.” — Kevin Mertens, Founder
